Executive Assistant

Mailgun is looking for an experienced, reliable, and task-oriented Executive Assistant to support the CEO and other senior leaders. The Executive Assistant will work directly with C-level executives and be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, organized, professional, and excels at prioritizing tasks in a fast-paced environment.


  • Lead and manage daily scheduling and coordinate related arrangements for CEO and other senior leaders as necessary
  • Lead and manage end-to-end travel planning for CEO and other senior leaders
  • Help maximize the efficiency and effectiveness of the CEO’s time
  • Utilize complex scheduling and stakeholder management skills to facilitate the scheduling of unplanned time-sensitive items
  • Receive and manage visitors with proud ownership of the responsibility to present Mailgun well
  • Screen questions and requests through a variety of channels and resolve stakeholder inquiries quickly and effectively
  • Review and process expense reports
  • Support the preparation of presentations and other work products appropriate for consumption by internal and external senior executives
  • Identify areas of risk/opportunities and influence and implement continuous improvements
  • Assist in preparation and coordination of company events, meetings, and employee team building activities or special projects
  • Schedule monthly board meetings and dinners and delivery of board materials
  • Coordinate executive signatures on various legal documents
  • Coordinate executive communications
  • Facilitate internal communication
  • Assist office manager with administrative projects as needed


  • 5+ years of equivalent or relevant work experience
  • Proven experience as an executive assistant to a C-level executive
  • Unwavering attention to detail and organizational skills
  • Ability to maintain a professional image and demonstrate sound judgment at all times
  • Ability to maintain absolute confidentiality and discretion
  • Ability to manage numerous tasks involving competing priorities in a fast-paced and dynamic environment with limited direction
  • Excellent analytical and problem-solving skills
  • Seasoned communication and customer service skills
  • Ability to devise and implement processes and process improvements in order to increase daily efficiency and effectiveness
  • Extensive experience with digital calendaring tools and G Suite products
