Facilities Manager

Mountain View, CA and San Francisco, CA Finance

SmugMug is looking for an experienced Facilities Manager to oversee all building-related maintenance and ensure that facilities are safe and well functioning. As a core member of the facilities team, you will be primarily responsible for the physical environment in and around the office, including troubleshooting any ongoing issues that may arise.

You Will:

  • Oversee and maintain the security of Mountain View and San Francisco offices (4 days a week in Mountain View and 1 day a week in SF)
  • Manage facilities planning and space allocation
  • Coordinate all maintenance issues and schedules
  • Manage the facilities work request process, receipt, prioritization, execution, and outsourcing where needed to complete work requests, including maintenance and update of the Eden ticketing system
  • Supervise all facilities staff (cleaners, technicians, groundskeepers, etc.) and external contractors
  • Plan and coordinate office setup for new employees
  • Maintain and improve the upkeep of the office
  • Oversee building projects, renovations, or refurbishments
  • Own vendor and contractor relationships and the respective budget allocated to facilities
  • Ensure the facilities meet government regulations and environmental, health, and security standards
  • Lead a committee that is responsible for the safety of the employees and visitors
  • Serve as a liaison role between landlord and company

You Have:

  • 3+ years of relevant experience
  • Ability to be in a role, with or without reasonable accommodation, that will require continuous standing, walking, sitting, and carrying/transporting of less than 15 lbs.; occasional climbing, stooping, twisting, and fine manipulation; intermittent bending, reaching, and carrying/transporting of 15–50 lbs. Occasional environmental exposure to cold, heat, and water; and rare exposure to dust and fumes
  • Experience with various tools and self-motivation to fix things
  • Well-versed knowledge in facilities management best practices
  • Experience with budget planning/forecasting
  • Familiarity with building upkeep
  • Experience with tenant improvement projects
  • Experience with food programs
  • Experience with space planning
